Purpose of Role
To liase with the Assistant Facilities Manager / Facilities Manager for day to day operational issues within a building or portfolio of buildings providing defined services as required. This is an active and visible role requiring excellent customer relationship and administrative skills. Working as part of a team, the Facilities Co-ordinator will be expected to build stong local relationships with the client and internal
Setting up and maintaining property and building services NA that local queries are resolved quickly and efficiently; to include monitoring and improving KPI NA Facilities staff including collection of rosters, timesheets, attendance, appraisals and recruitment. Co-ordinate staff development plans, inductions, security passes for all Facilities staff in area of responsibility. Promote a safe and healthy working environment in accordance with current legislation and both Company and Client policy, taking a co-ordination role in health and safety control, training, inspection and risk assessments. Control all third party activities on sites ensuring safe methods of working, permits to work, etc are NA all quality systems and procedures are NA in the procurement of goods and services as required.

Carillion Health, a division of Carillion Support services works closely with a number of NHS Trust clients throughout the UK to provide a self-delivery capability across the full range of hard and soft facilities management ranging from security, housekeeping to mechanical and engineering work. One of our largest contracts is with Bart’s Health Trust, the largest NHS Trust in the UK where we provide the full range of soft facilities management to 5 hospitals across Central and London.
Our busy Cleaning team at the Royal London Hospital in Whitechapel is now looking for an experienced Senior Administrator with knowledge of working in a Hospital environment to come and work as part of their team. The Royal London Hospital is internationally renowned hospitals within the larger Bart’s Health Trust and are located in East London. The Cleaning team is responsible for ensuring that all areas of the hospital is cleaned to the required standard.
The successful candidate will provide a varied range of administrative support for the Cleaning Services and will be required to line manager one other Administrator. You will be providing various monthly reports, updating and maintaining staff / department files, ensuring pre-employment screening is conducted, recording and processing invoices, ordering staff uniform, processing timesheets for payroll in the absence of your line report and assisting with payroll queries, raising orders via Oracle (the Carillion in-house IT system) with responsibility for the departmental purchase card, the co-ordination of complaints, note taking during informal/formal meetings, reports/creating spreadsheets. You must also have experience of official letter writing.
The candidate will report directly into the Cleaning Service Manager - Cleaning Services and will be expected to be a self-starter, flexible, organised and able to prioritise work. Attention to detail is vital as well as an ability to work under pressure to your own initiative with minimal supervision. You will be able to demonstrate an ability to meet deadlines and evidence excellent IT skills. You will have experience of working as an administrator in a busy and customer focused environment.
