      • Is responsible for the smooth operations of the project site office in areas such as logistics, visitors, vendors, office housekeeping and maintenance, office security access, stationeries and office supplies, incoming and outgoing correspondences, HR support, emergency preparedness etc

      • To manage and support the project site team with secretarial, administrative and HR functions

      • To manage and ensure professional reception manning

      • To liaise, co-ordinate and manage parties such as vendors, contractors, line functions, project team members and others in ensuring responsibilities are performed

      • To oversee a team of administrative support officers providing document control management, IT support, reception etc

      • To develop, establish and evaluate effectiveness of various key processes, identifies need to improvement in order to enhance operations and administration levels in the project site office

      • To assist in monitoring and tracking of office expenditure and budget

      • To lead or assist in project team welfare activities, environmental sustainability efforts or information dissemination

      • Any other duties deemed necessary

Job Requirements

      • Diploma or equivalent with at least five (5) years of relevant working experience, of which at least three (3) years in general office management

      • Strong experience in managing a team in looking after a project site office in the areas of allocating drafting resources, project documentation, cafeteria management, project and office administrative support

      • Conversant in and have implemented ISO9001 Quality Management System for office administration

      • Strong communication skills, both written and spoken

      • Good working knowledge of MS Office, and adept at spreadsheets and file management systems

      • Good interpersonal, written and verbal communication skills for collaboration with stakeholders across all levels

      • Strong negotiation and conflict management skills
