Purpose of Role
To ensure compliant information and data systems which robustly support grant and funding claims for apprenticeship and adult skills training.

Principal Accountabilities
• Consolidate and review compliant monthly learner database submissions prior to finalising and submitting to government agency responsible for funding apprenticeships. • Develop and implement effective Management Information Reports to support operational teams, maximise operational effectiveness and identify trends and risks. • Project manage IT and business systems updates. • Review and revise Administration procedures and processes to maintain an up to date and effective grant and funding claims. • Train and support staff to deliver a quality service which meets the needs of funding and awarding bodies. • Support Quality and Compliance Manager in undertaking internal audits of administrative procedures within business. • Monitor changes to funding rules and identify risks and implications of any changes. • Produce modelling information based on changes to strategy, funding and labour market information. • Develop professional and constructive relationships with Funding Organisations and Awarding Bodies to ensure business management systems are set up in accordance with funding requirement, to identify new funding opportunities and to maximise business performance. • Liaise with external bodies such as funding agencies and provider networks to ensure up to date knowledge of funding and other government policies and report changes and potential implications of changes. • Provision of funding related information to Senior Management Team and Operational Managers to support and influence business planning decisions. • Provision of business critical KPI information to Operational Teams to support them in maximising delivery whilst maintaining quality of provision. • Maintain and develop professional working relationship with providers of business systems software. This is a key role within Carillion Training Services with responsibility for ensuring provision of quality information to funding bodies, enabling critical timely funding of the business. Provision of reporting and engagement with the Senior Management Team is a key feature of this role, and will shape strategy going forward, as is the timely and accurate provision of KPI information to the operational teams. Financial responsibility (Amount in £s and type of Budgets e.g. people, projects etc and whether they have indirect or direct irresponsibility for the finances) Day to day management of apprenticeship and training funding budgets from funding agencies • Experience - the post holder will have a background in funded contract management and the production of performance data for management information purposes. An understanding of EFA/SFA/Adult Skills Budget funding is a critical part of the role. • Planning and Organising/Handling Change/Always Improving – Has to be efficient in their use of time and actively look for ways to get the most out of the time available. Have logical and considered planning to enable priorities to be met while allowing the ability to adapt and change as necessary. Actively look for ways to improve the delivery of their outputs as well as the wider team. • Relationship Management – Must be able to build strong relationships with funding and awarding bodies, in order to maximize funding and develop future funding opportunities. Must be comfortable with relationship building both externally and internally at all levels. • Business Awareness – Will need to be adept at understanding complex funding models and identifying opportunities from which Carillion businesses will benefit. • Responsible for day to day management of funding relationships. • Provides input to Senior Management Team (SMT) with regards to funding opportunities and shaping of funding strategy. • Directs Administration Manager in setting administrative procedures within business.

Additional Role Information
Successful applicant should:
  • Have advanced Microsoft Office skills, especially in Microsoft Excel.
  • Be able to manage large amounts of data and condense into salient features and executive summary.
  • Have a proven track record of delivery in a busy finance or administrative function, be able to work to tight timescales, whilst maintaining quality of output.
  • Be able to work on own initiative and deliver projects on time and to budget.
  • Have a proven track record of managing IT systems and change within those systems.
  • Excellent relationship management and communication skills.
  • Have proven experience of process and change management.
  • Be able to present ideas to a group or individually in a confident and structured manner.
  • Have experience of working with government and other funding organisations, and ideally knowledge of apprenticeship funding in the UK.
Such other duties as may be determined from time to time within the general scope of the post; duties and responsibilities outside the general scope of the post will only be required with the agreement of the postholder.
