About the Business Line
AECOM's Global Support Services (GSS) organization resides within AECOM's Government business line and is comprised of three divisions - International Development, Operations and Mission Support, and Global Programs. GSS has the international presence, personnel networks and procurement infrastructure to deliver support for any mission, anywhere. We optimize the reliability, availability and sustainability of equipment, logistics systems and facilities for clients around the world. Job Summary
CSR - Special Events Coordinator provides space planning and configuration and audio/visual support for conference centers and meeting spaces. Responsibilities include:
  • Working with Protocol officers and/or Component Representatives to coordinate special events, awards ceremonies and other high profile meetings.
  • Set up tables and chairs in specific meeting configurations to hold 20 to 100 or more participants
  • Operate movable walls to configure room capacity according to meeting participants
  • Set-up and maintain audio/visual equipment in each conference room
  • Coordinate with the Customer Service Center to plan schedule of meetings and room configurations
  • Assist meeting participants with requests for additional service before, during or after a meeting
  • Immediately report any maintenance concerns to the Customer Service Center for notification to the appropriate service provider
  • Ensure rooms are tidy and ready for next use, removing all trash and any materials left behind
  • Work with Special Events Support, Loading Dock personnel and caters when needed for events
  • Create meeting reservations in the Conference Room Scheduler, scanning the system ensuring no double bookings are created or are addressed immediately.
  • Serve as the Parking Coordinator working with the Customer Service Center to enforce parking policies and issuance of parking permits
  • Receive and create compound parking permits based upon justifiable need and space availability.
  • Capture productivity metrics and submit weekly as requested.


Minimum Requirements
  • High school diploma or GED
  • Basic computer skills (MS Word, MS Excel and Lotus Notes)
  • Active TS/SCI with poly

Preferred Qualifications
  • One (1) year recent experience working in customer service or administrative support
  • Knowledge of IC regulations, policies, practices and procedures
  • Strong interpersonal skills to maintain effective working relationships with team and customers
  • Good oral and written communication skills sufficient to respond to customers' routine questions in a clear and concise manner
  • Ability to set-up and troubleshoot various audio and visual products: podiums, microphones, projectors and drop-down screens, lights and speakers, etc.

  • Ability to manage own activities and workflow under tight deadlines
  • Ability to apply a strong customer focus orientation to understand customer requirements, suggest and implement solutions
  • Ability to ensure management, co-workers, customers and stakeholders are kept informed
  • Ability to adapt to changing work requirements and priorities that may require overtime or extended hours
