Job Summary
We are currently seeking a Project Management Administrator (PMA) to join our growing team in the Canberra office. You will be assisting Project Managers and Project Directors on exciting projects in a collaborative and fast paced environment, and to ensure the smooth facilitation of workflow in financial and administrative systems are achieved.

This role will require you to perform the following:
  • Become the key driver of the AECOM Project Management tool (ePM) and lead the process from project setup to project execution, delegate tasks, project reviews and project closure
  • Support PMs in the day to day project administrative tasks including attend project/client meetings, prepare and distribute minutes, follow up on action items post meetings and document management
  • Become the task manager of multiple projects to facilitate smooth workflow, prompting individuals when necessary to ensure that deliverables are produced on time
  • Become familiar with the AECOM project setup workflow and coordinate contract reviews or seek Delegation of Authority approvals when required
  • Become familiar with the AECOM sub consultant engagement procedures and assist PMs complete sub-consultant applications when required
  • Have an eye for detail and ability to track project finance healthiness by generating weekly, monthly and quarterly reports
  • Assist PMs manage project costs by tracking Estimation at Completion against cost incurred including labour cost and other overhead indirect costs
  • Assist PM in managing invoices and monitor debtors to meet project financial KPIs
  • General office administration duties

Minimum Requirements
  • Bachelor or Certificate of Business Administration or similar (preferred)
  • Excellent organisational skills and attention to detail
  • High aptitude for working with company systems and procedures
  • Excellent written and verbal communication skills, including the ability to liaise and consult with staff at all levels within the organisation and a range of external clients
  • Excellent knowledge of Microsoft Office suite including Word, Excel, Outlook, PowerPoint and Visio
  • Ability to prioritise multiple tasks and meet deadlines
  • Professional attitude and takes responsibility for own tasks and work
  • Ability to work as an individual or as part of a team, with minimal supervision
  • Ability to engage with other areas of the AECOM business to understand systems and processes
  • Highly motivated, enthusiastic, proactive and keen to learn

To be successful in this role, you must be a strong communicator with excellent interpersonal skills, be flexible and have a pro-active attitude to fully support all business lines in Canberra and the wider AECOM business.
