Purpose of role:
Working with the Safety Health & Environment team, the holder will provide administrative and technical support to the SHE team. The primary focus for the role is to provide support to the Head of SHE, Naval Ships and the SHE management team for them to effectively manage their key stakeholders.

Technical Skills:
Accuracy and attention to detail is essential
Prioritization of workload, when managing multiple tasks
Organisational and planning skills
Strong IT Skills
Ability to retrieve technical information from systems in accordance with schedule
Good data entry skills, and manipulation of data skills

Industry Knowledge:
Defence sector knowledge would be an advantage but is not essential
Previous experience in working as an administration role
Understand company polices, processes & IT Standards

HNC in Business Administration
Proficiency in the use of appropriate IT packages (Microsoft Office, Word, PowerPoint etc.)

Tasks and Activities:
General office administration include the co-ordination of the office SHE Plan, Viz Boards, ordering of consumables, uploading of data into the SHE Dashboard and collaboration portal. Co-ordination of contractor SHE assessments Establish and maintain an effective document/record management system.
Organise diary and travel arrangements
Produce presentation packs and reports for various business SHE review meetings within regular business cycles
Coordinate business SHE reporting calendar

Ensuring all communications involving personal data are compliant with both Medical Confidentiality and Data Protection requirements.
Ensuring the consistency and accuracy of SHE Business Data Packs.

SHE Senior Management Travel
Confidential administration
Taking/producing minutes of executive SHE meetings such as Naval Ships SHELT, SHE Management Reviews, SHE Management Meetings etc.
Presentation packs for various business SHE review meetings (QBR's, MBR's, SHE Management System Reviews, etc.)
Upkeep of Visualisation Boards
Progress reports on contractor SHE assessments.
SHE Dept. Company Credit Card Administration
