Purpose of Role
• To deliver Estate Management services for either multiple specific clients or a single large client in Public or Private Sector client property portfolios• Manage key client relationships• Manage a team of surveyors and Real Estate Treasury staff to ensure processes are adhered to and improved, using technology to support• Ensure client reporting is delivered to highest standards possible, on time and in a customer focussed way.
• A senior role with ability to manage Multiple specific clients and portfolios• Track record of involvement with owners and occupiers of property within in the Public or Private Sector• Ultimate contract responsibility for delivering Estate management and Property Finance Management services• P&L responsibility for the Estate Management Part of the contact• Excellent multiple client-facing skills and significant experience in client reporting• Detailed experience in lease management; Landlord and Tenant law; Key lease event management• Ability to handle large and varied workload for multiple clients• Experience in people management and managing teams in multiple locations• Detailed knowledge of delivering solutions using Trace Solutions O6ix Property Management Information System or similar• Ability to integrate Estate Management Services with FM and other service streamsGeneral Real Estate Property Management• Oversee all work dealing with landlord and tenant relationships; • Oversee the team submitting applications for Licences for Alternation; • Ensure that Statutory Bodies are liaised with as appropriate;• Ensure that a schedule is created for inspection of properties for landlord and tenant lease compliance issues and ensuring our clients are abiding by the terms of their occupational leases; • Ensure that Notices are received and actioned; • Ensure that day-to-day requests are dealt with; • Make sure that sub tenant lease compliance is managed• Where superior landlords demand service charges ensure that the costs are challenged in line with the lease provisions and that the costs can be legitimately charges in accordance with the service charge clauses in the lease. • Where there is a sinking fund, ensure that the Sinking fund budget is challenged and that the Life Cycle fund is verified to ensure that our client’s payments are NA Charges• Make sure that sub tenant Service Charges are managed in line with the RICS Code of Practice for Service Charge in Commercial Premises• Ensure approved budgets are issued a month in advance of the service charge year; on-account demands made and revenue collected quarterly in advance, and expenditure strictly managed. • Ensure that reports on expenditure variances are undertaken monthly and at the end of the Service Charge year• Ensure that Year End reconciliations are handled, and that the team seeks client approval and notifies tenants• Make sure that regular tenant meetings are held to focus on transparency and good communications at all times• Make sure hat Service Charges are managed through dedicated client bank accounts are managed in line with RICS Code of Practice for the benefit of the all the occupiers. • On larger multi occupied mixed use estates, make sure that detailed reporting through dedicated intranet sites is provided, in order to enhance communications and focus on tenant NA Advisory• Ensure that the team agrees tactics for lease
