Advisian WA Manager, Operations Managers, Finance Manager, People Group, Discipline Managers, Administration Team
Provide secretarial and administrative support and services to the Advisian State Manager, and assisting with the maintenance and improvement of key external & client relationships.
Assist the Advisian senior leaders with client relationships.
Key Objectives and Accountabilities
§ Provide secretarial and administrative support to the Advisian WA Branch Manager including creation, preparation and distribution of correspondence including emails, reports, documents, presentations and publications for internal and external use.
§ Provide adhoc secretarial and administrative support to the other Advisian senior leaders
§ Provide adhoc administration support to the Business Relationship Manager - People Group WA when required.
§ Provide adhoc administration support to other members of Advisian and INTECSEA when required.
§ Mentor the WA Branch Administration team and provide adhoc support and cover for leave periods etc.
§ Identify and build relationships with key stakeholders within client firms (eg Snr Executive Assistants), and engage with them on a professional level. Maintain an understanding of the consulting marketplace, and identify challenges and opportunities where appropriate.
§ Maintain confidential records and filing for ease of retrieval.
§ Arrange and make travel, vehicle and accommodation arrangements (mobilisation - domestic and international, business trips and site visits)
§ Arrange Client Meetings
§ Attend meetings, take minutes and circulate meeting minutes.
§ Organise internal and external functions as required.
Skills and Competencies Required
§ Highly competent in MS Office suite.
§ Proven time management and organisational skills.
§ Pro-active, goal oriented with excellent attention to detail.
§ Excellent customer focus and able to consistently meet Advisian's and its clients' needs.
§ Effectively manages change to work tasks and the work environment, and assists others with adapting to change.
§ A person of integrity who is trusted by others and consistently honours their commitments.
§ Able to identify issues, problems and opportunities; make timely decisions; develop appropriate and innovative solutions; and ask for assistance if required.
§ Excellent verbal and written communications skills, including the ability to convey information and ideas to individuals and groups, and make presentations when required.
§ Demonstrates initiative and a willingness to learn and continuously improve on performance.
§ Able to work on multiple projects/initiatives of various size and complexity.
§ Experience in the same or similar industry.
§ Previous experience as an Executive Assistant or Office Manager.
§ At least 7 years prior experience as a Personal Assistant.
§ Relevant degree, qualifications, accreditation or training including Secretarial or Office Administration qualifications.
