Job Summary
The Transportation and Infrastructure Department of AECOM is actively seeking a creative, highly talented Field Office Project Administrator for immediate employment. Incumbent may be based out of our Tucson or Phoenix office. The appropriately qualified applicant will be able to demonstrate an established career in construction management, specific to horizontal and vertical projects. AECOM is proud to provide our employees with exciting, challenging projects. The incumbent can look forward to projects including roadway and bridge construction. This is a part-time variable position, meaning work days and times will be determined on an as-needed basis.

The responsibilities of this position include, but are not limited to:
  • Check contractor's certified payrolls and contractor's employee interviews
  • Work with and on LCP Tracker, FAST, PEN, SATS, CPE, Force Accounting and Invoicing, Bituminous Price Adjustment, and Diesel Adjustment
  • Assist the Resident Engineer in drafting construction change orders and correspondence
  • Serve as one of the focal points for project document and records tracking, and management
After appropriate training and coaching to become proficient in AECOM's processes and procedures, the individual will be expected to be:
  • Responsible for the day to day maintenance of an electronic document control system and will provide regular input and summary data for specified project reports
  • Maintain Project Records
  • Assist Project Manager with routine admin functions
  • Upload documentation to GSA EPM software (training will be provided)
  • Initiate project related letters when requested
  • Assist in writing project reports with inserted photographs
  • Setup and coordinate meetings
  • Prepare Work Authorization Forms (WAF) for new contracts, modifications and job closures
  • Follow up and report on accounts receivables
  • Assist Project Managers in tracking project budgets
  • Assist in reviews of contracts and preparation of MAR form
  • Assist Project Manager in preparation and submittal of estimate at completion (EAC) and revenue in excess of contract value (REC) forms
  • Assist Project Manager with all financial aspects of projects of medium size, complexity and risk
  • Prepare Go/No Go forms and assists with proposals
  • May have limited interaction with IE billing and accounting staff
  • Interact directly with Project Managers and may interact on a limited basis with clients and sub-consultants
  • Perform routine tasks without substantial supervision
  • Receive instruction on specific assignments, objectives, complex features and possible solutions
  • Assist on unusual problems and work is reviewed for application of sound professional judgment
  • Work on assignments that have clear and specific objectives and require the investigation of a limited number of variables
  • Evaluate, select and apply standard management/administrative techniques, procedures and criteria to assist Project Manager

Minimum Requirements
  • High school diploma
  • 2 years of ADOT experience
  • Basic experience in budget tracking
  • Knowledge of document control processes
  • Knowledge of ADOT specific contractual requirements
  • Ability to proactively participate in meetings, prepare meeting minutes, deal with the public and client staff
  • Good problem solving, organizational, people, math and accounting skills
  • Knowledge of contract terms, accounting principles, Enterprise One, as well as contract standards and billing procedures
  • Strong Knowledge of Construction Practices
  • Excellent verbal and written communication skills
  • Must have good computer skills and knowledge
  • Strong proficiency with Microsoft Office tools, specifically Word, Excel, and Power Point
  • Due to the nature of this work, U.S. citizenship is required
  • Due to the nature of this work, qualified applicants who are offered a position must pass a pre-employment substance abuse test
  • Must possess a valid driver's license

Preferred Qualifications
  • Bachelor's degree in Business, Accounting or related field
  • 7 years of previous ADOT experience
  • Local Municipality (Counties or Cities) experience
  • Possession of a Arizona driver's license
