About the Business Line
Infrastructure Services
We are planners, materials scientists, engineers, engagement consultants, asset managers and geotechnical specialists. Our team works to shape and influence some of our world's most complex and challenging infrastructure. We also provide complementary services to other AECOM teams working in the sectors of Mining, Transportation, Manufacturing, Industrial and Water.

Job Summary
We are seeking an experienced and energetic individual dedicated to delivering a high quality service to support managers and employees of our Civil Infrastructure team based in Melbourne for a 12 Month Fixed Term Contract. As part of the team you will deliver a range of Administration tasks including; coordinating meetings & events, taking minutes, coordinating bid and tender preparation, system updates, reporting and supporting the team in delivering a high quality service.

Key responsibilities
  • Provide high level administrative and project support to technical directors, project directors, senior project managers and other team members;
  • Work with the team to establish administrative processes and ensure the team complies with all requirements;
  • Assist the team with record keeping and archiving project files;
  • Liaise with internal and external clients, manage general and sensitive enquiries and ensure necessary follow up action is taken in a timely manner;
  • Supporting the team with organising travel, reimbursements and other administrative tasks;
  • Coordinate team learning initiatives and activities;
  • Provide other duties as required to assist the team achieve its goals;
  • Write and coordinate the development of reports, briefs, governance papers, project summaries and other documents, ensuring a high quality presentation;
  • Assist with coordination of multi-discipline project documentation;
  • General formatting of external documentation to AECOM templates;
  • Advise senior managers on matters requiring their attention and implement their decisions;
  • Reception cover when required; and
  • Contribute to the development of AECOM bids, proposals and submissions.

Minimum Requirements
About you
  • Ideally you will have 4 years' experience in an Administration function supporting a group of professional and technical employees;
  • Sound computer/database skills, MS Office suite experience with a high degree of proficiency in Excel, PowerPoint and Word;
  • Client focus and the ability to maintain confidentiality;
  • Proven initiative and ability to prioritise work, schedule own work, work with minimal guidance and meet tight deadlines;
  • Excellent oral and written communication skills including the ability to develop comprehensive reports and submissions;
  • High levels of accuracy and attention to detail;
  • Knowledge and experience of using Salesforce is desirable;
  • Experience in the engineering consulting environment;
