Circa £23,000k + Group Pension, Group Health Care Plan, Group Profit Related Annual Basis Bonus and 25 days holiday.

An opportunity has arisen for an experienced Construction Secretary to join a house builder in the West Midlands. You will provide and maintain personal assistance and full administrative duties to the Construction Director and the Commercial Department.

- Maintaining diary for Regional Construction Director
- Arranging meetings and Construction events as required
- Produce monthly PCN lists with Regional Construction Director and distribute as necessary
- Monitoring of training requirements & maintaining training records for Construction Dept.
- Arranging training courses and seminars for the Construction department
- Processes expense claims for Construction Director and all Site Staff
- Managing invoices for the Construction department
- Collating of RI`s for all sites
- Collating of information to produce monthly bonus spread sheet for site staff
- Assisting in production of Method Statements / Phase Plans for new sites
- Ensuring all weekly / monthly paperwork is collated and forwarded to Head office
- Assisting site with any administrative services as required
- Provide reception cover as detailed in the rota
- Processing of goods receipt notes for Site
- Assisting purchase ledger with queries and large volumes of goods receipting
- Co-ordinating time sheets for cards in staff
- Co-ordinating time sheets for agency staff
- Maintenance of holidays for Site staff
- Printing off site plans on a weekly basis
- Updating of site layout file
- Collation of monthly labour returns
- Registering new sites onto Considerate Constructors Scheme
- Uploading claims onto Claim Suite
- Open and distribute all incoming post for the Department along with sorting any outgoing post
- Logging of Agency and Utilities invoices
- Logging of Agency and Landscaping timesheets
- Logging and distribution of Sales Variation Orders
- Maintenance of the departmental filing system (payments)
- Filing of returned Subcontractor Order (contract)
- Collate monthly Cost File for department
- Maintenance of archiving system and final accounts
- Setting up sub-contractor files
- Auditing of sub-contractor files (audit check list)
- Collation of sub-contractor order information
- Preparation of payments and logging, prior to submission to accounts
- Input of Customer Service Payments
- Tracking and logging Commercial department staff holidays
- Record minutes where required
- Collation of Monthly Board Report
- Reception Cover, as required (see schedule provided by MD`s PA)
- Record minutes when required
- Assist with the preparation of tender enquiries for Surveyors
- Distribution of Buying Orders.

To apply for this position you must have accurate and fast typing skills with extensive computer experience in Word/Excel/Outlook. You must possess excellent written and oral communication skills, knowledge of working within a Construction environment and the ability to prioritise is essential, as well as being able to take a flexible approach to your workload.
