The Program Here is your opportunity to work on the first ever high-speed rail program in the U.S. while growing your career on a groundbreaking project. The California High-Speed Rail program will connect the mega-regions of the state, contribute to economic development and a cleaner environment, create jobs and preserve agricultural and protected lands. By 2029, the system will run from San Francisco to the Los Angeles basin in under three hours at speeds of more than 200 miles per hour. The system will also extend to Sacramento and San Diego, totaling 800 miles with up to 24 stations.
The Role The California High-Speed Rail Authority has awarded WSP | Parsons Brinckerhoff the Program Management role within the Rail Delivery Partner (RDP) program delivery team. As a result we have an immediate opportunity for an IT Program Support Specialist. The IT Program Support Specialist will report directly to the IT Program Manager and Enterprise Technologies Manager, and will be responsible for supporting project delivery. The duties are as follows:

      • Act as program support specialist for the information technology leadership team
      • Preserve the confidentiality of information related to the organization and project teams - assist with confidential and/or sensitive matters provides explanation and support as needed
      • Prepare and review correspondence, notices, memoranda, and weekly status and board reports independently and/or at the direction of information technology leadership team
      • Utilize office automation and productivity software applications in order to provide timely, accurate, and professional documents
      • Proof typed materials, make corrections, make recommended changes, and verify layout in compliance with project branding and style guidance
      • Assist with answering questions and responding to requests directed to the information technology leadership team
      • Develop, coordinate, organize, and implement tracking system to monitor IT matters, projects, assignments, and deadlines
      • Provide information and management support, including word processing, telephone services, and handling of electronic and other correspondence containing routine inquiries
      • Handle and route inbound calls from employees and vendors, which will require a level of technical competence to understand the problem and who can resolve it
      • Maintain oversight and familiarity with all IT-related projects at any given time, including who, what, when, where, why, and how of each project
      • Assist with the preparation and distribution of presentation materials and related collateral
      • Schedule meetings; prepare agendas; record, transcribe, and distribute meeting minutes; follow-up and report on action items; and participate in meetings as requested
      • Retrieve and file documents, records, and reports within the Enterprise Document Management System and Program Management Information System
      • Support and coordinate implementation goals and objectives of High-Speed Rail information technology projects and initiatives
      • Notify information technology leadership team of any unusual or unexpected events or problems that could adversely affect HSR information technology services
      • Provide administrative support for the information technology management team
      • Provide procurement coordination, support, and tracking as applicable
      • Facilitate training sessions and provide employee orientation support as applicable

Job Requirements
The Requirements

  • At least five years' work experience in IT Program Support Specialist capacity
  • High school diploma or equivalent
  • Hard worker with outstanding work ethic and willingness to do what it takes to get the job done
  • Demonstrated strong interpersonal skills
  • Excellent communication skills, verbal and written, including the ability to communicate well in a variety of settings with a variety of stakeholders
  • Ability to use independent judgment and make sound decisions
  • Ability to build and retain quality relationships
  • Ability to effectively coordinate with other organizations
  • High level of proficiency in Microsoft Word, Excel, PowerPoint, Outlook and SharePoint
  • Ability to handle multiple projects and deadlines The ability to work in the United States immediately is required, local candidates preferred
