Executive Personal Assistant EzTix Event Ticketing is a premier culinary event ticketing firm working with the global leaders in culinary experiences. Based in Toronto, EzTix powers businesses across more than 35 countries around the world. Location: Toronto Office (Liberty Village)Schedule: Flexible schedule will vary and will include evenings and weekends as needed but normal business hours are Monday to Friday from 9AM - 530PM. Reporting to the CEO, the Executive Personal Assistant provides executive support in a one-on-one working relationship to the CEO and provides ad hoc office support to colleagues. This person must enjoy working within a growing, entrepreneurial environment that is mission-driven & results-driven where change is the only norm. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. We are looking for someone who makes the difficult stuff look easy, and loves finding solutions for our CEO and team. The perfect candidate will possess outstanding customer service skills, an above average comfort with modern technologies, be proficient in managing time and tasks, and have a passion for food, wine and the culinary industry. What will you be doing? This... and a lot more!Serves as the primary point of contact on all matters pertaining to the office of the CEO - make sure the team has what it needs to be productive and NA travel and make sure all aspects of trips work seamlessly from start to finish. The CEO travels about 65% of the year. Make business travel arrangements for employees where NA a busy calendar where there is always too much to do and often not enough time to do NA in the planning and execution of company meetings. Manage the conference room schedule & ensure the CEO has the materials he needs for each NA and review presentations and speeches for the CEO & Executive team as NA reports, letters, documents and emails as NA the EzTix Offices run smoothly by ordering office supplies, managing contractors, cleaners & technicians as NA office-related new employee onboarding activities such as ordering office building access and security cards, performing training and workspace NA in the planning and execution of company staff social and celebratory events per guidelines NA the EzTix Support team when needed by answering support calls, chats & NA coordination with the CEO, ensure all support requests and other issues escalated to the office of the CEO are promptly responded to & followed up upon. Ensure very thorough documentation is kept on all support related matters according to company policies and NA the CEO with processing expense reports, scanning & filing receipts and reconciling NA the booking, maintenance, renovations and customer interactions for all vacation and rental properties owned by the EzTix NA the CEO with personal errands such as picking up dry cleaning, walking dogs, meal planning, birthday reminders, or anything else that helps make the CEO's day run more NA the scheduling, repairs and maintenance for the company NA data entry and administrative tasks as needed. Knowledge, Skills & Experience:Excellent organizational and time management skills with the ability to work under NA and Discreet - you will deal with a lot of confidential NA interpersonal and customer service skills are a must. Strong confidence when dealing with telephone clients and sometimes difficult NA Obsessed - see and know what is going on with the CEO's projects and with the NA level of comfort and familiarity with today's leading technologies. This should include both Mac and Windows PC's and Apple iOS devices (iPhone/iPad).Strong knowledge and passion for the food & events industry. Knowledge and experience with live events is a definite NA strong multi-tasking skills. Ability to work in a fast-pasted environment often having to jump from one project to another throughout the day but still completing tasks on NA French / English / Spanish is a huge NA accounting & book keeping skills. Comfort with numbers and experience assisting in the preparation of financial reports. Experience with QuickBooks a NA - no surprise that there will sometimes be needs outside of regular hoursLove dogs & be willing to walk and take care of the executive team's puppies on NA to Travel with extensive travel NA's degree in business administration or equivalent work NA years of experience supporting Senior level Executives in a globally operating NA unrestricted driver's license.
