Provide administrative assistance to Director of Projects and their teams.|
Prepare and disseminate Directorate reports and presentations.
Maintain Directorate metrics.
Organize and manage meetings and conference room reservations for all Projects teams; take minutes and maintain action item list.
Expedite various forms as required.
Arrange travel accommodations and process subsequent expense reports for Projects team.
Provide assistance and guidance to Director of Projects on personnel items such as travel, expense reporting and company procedures.
Routinely update Directorate personnel roster/phone list and org. chart.
Maintain the Projects WebCenter and U-Drive Folders domain.
Set up and assist to host I-Meetings and video conferencing. Assist to maintain ISO compliance.
Assist to maintain real-time Projects tools to support the team's objective.
Interface with GDLS, US Government and supplier personnel.
Perform financial management of directorate expenditures.
Prepare and monitor labor work directives.
Assist with SPOT (Synchronized Predeployment and Operational Tracker) for OCONUS personnel.
Experience in MS suite of office software, MS Project, especially Excel, Access, PowerPoint and Outlook.
Excellent oral and written communication skills required.
Knowledge of GDLS travel, labor reporting and overseas assignment Standard Practices preferred.
Demonstrated record of customer intimacy and support resulting in a high degree of customer satisfaction required.
Experience in supporting the deployment of multiple employee personnel is a plus
Proven intimacy and support of boundaryless collaboration as a team player is required.
