Summary: Responsible for posting payments, processing refunds or account adjustments, and make notes on accounts. If a payment is lost or misapplied, a cash applications employee will be required to conduct research, locate the payment, reapply payment, and work with customers and/or the collections department to keep them informed of the situation. Discuss problem/ complex batches or adjustments with manager and recommend appropriate action to resolve. Ability to advance in the organization is based upon clear written individual goals and collection achievements.

Primary Job Responsibilities:

  • Post checks, credit cards, and ACH payments ( Responsible for ensuring all cash is recorded to the general ledger and obtain approval from the Cash Applications Manager for any exceptions.)
  • Reconciliation of bank accounts and customer accounts
  • Performs corrections and edits to batches
  • Extensive research
  • Analyzes any credit accounts to determine if a refund should be processed and processes any necessary refunds
  • Responsible for investigation, analysis, escalation and resolution of cash application issues to ensure all cash and any issues related to payments timely and maximize company cash flow
  • Uses several Tyco systems to perform collections, customer service, and reporting accurately
  • Other duties as assigned

High school diploma or Associates Degree preferred (or equivalent years of successful work experience in collections environment.)

Minimum of 3 years posting payments experience
Minimum of 3 years of customer service experience
General understanding of accounting concepts and procedures
2-3 years of experience in handling complex cash posting duties in an accounting environment
Excellent 10-key skills
Strong organizational and time management skills to prioritize heavy individual workload to meet time sensitive deadlines
Results driven and takes initiative
Extensive research skills
Excellent written and verbal communication skills
Strong analytical skills and attention to detail
Flexibility to adapt and able to manage multiple assignments while working independently

Intermediate – advanced computer knowledge (Microsoft Excel, Word, GetPaid, Carms, CBS, Admin, and Compass, Access)
Excellent oral and written communication skills
Strong customer service aptitude/customer retention skills and organizational skills
Ability to be self-directed toward achievement of goals
Ability to multi-task and work independently
Strong attention to detail
The ability to add, subtract, multiply, or divide quickly and correctly
Knowledge of principles and processes for providing customer and personal services. This includes meeting quality standards for services and evaluation of customer satisfaction.
Handling complaints, settling disputes, and resolving grievances and conflicts, or otherwise negotiating with others.
Developing constructive and cooperative working relationships with others, and maintaining them over time
Job requires being reliable in fulfilling obligations within a work environment with limited flexibility
Proven ability to take initiative and work independently while remaining a good team player
