About the Business Line
Infrastructure Services
We are planners, materials scientists, engineers, engagement consultants, asset managers and geotechnical specialists. Our team works to shape and influence some of our world's most complex and challenging infrastructure. We also provide complementary services to other AECOM teams working in the sectors of Mining, Transportation, Manufacturing, Industrial and Water.

Job Summary
AECOM Nordic AB has offices in Stockholm, Helsinki and Oslo. We are looking for a Project Manager Assistant & Bid Coordinator as a part of administration and support team at AECOM Nordic AB. This Role is a replacement hire on a limited time basis for one of our support staff who will be on maternity leave for 1 year.

Main Responsibilities:
  • Assist Project Managers in all project stages, including tender, award, implementation, billing/ payment and closeout.
  • Assist project managers with systems support
  • Work with business unit managers to support in preparation of tender documentation and compilation of necessary material.
  • Work with tender managers to liaise with colleagues across Europe to consolidate efforts and information
  • Project administrator duties, working to support project managers in compiling data for reporting and invoicing
  • Work with administration department to ensure support function is up to speed.
  • Track budgets and produce weekly and monthly financial updates of projects.
  • Develop and maintain efficient administrative tools (spread sheets/databases).
  • Evaluate, select and apply standard management/administrative techniques, procedures and criteria to assist Project Managers.

Minimum Requirements
For this role we require:
  • Higher education
  • Two years relevant experience or demonstrable knowledge through education, skills and ability.
  • Understanding of the fundamentals of contract terms, contract standards and procedures.
  • Good problem solving and organizational skills.
  • Interest and willingness to develop new routines and systems to assist project managers in project administration.
  • Very good skills and experience with MS office, including Word, Excel, MS Project and VBA.
  • Excellent English language skills (speaking and writing) and also basic Swedish/Scandinavian language skills are essential.

Preferred Qualifications
  • Driving license cat. B
