BUSINESS ASSISTANT; £13.50/HR; FILTON; CONTRACT |
Our client requires a Business Assistant to provide an efficient and comprehensive support to allocated members of the leadership team in the business unit and to provide admin support to ensure the smooth running of allocated offices / technology centres or functions within the business unit.
Provide day to day admin support to designated teams helping to arrange meetings, travel and accommodation as required. Tasks may include:
Support to External Visitors
Gathering details and booking into reception
Providing assistance to visitors on travel arrangements/directions and accommodation.
Collection if required from reception on arrival
Return journey assistance such as booking taxis etc.
Arranging Meeting Rooms
Finding and booking of rooms for meetings
Preparation of room ahead for external meetings including:
Checking is clean and tidy and equipment works
Checking has adequate seating for the meeting
Pre preparation of refreshments for external visitors
Other duties required include;
To be available to take and produce key actions from key meetings
International travel booking for Filton based technology team
Support on organising off site events such as management meetings
Ordering and assistance with consumables and equipment such as IT for team.
Expenses and manage mileage spread sheet for managers
Process purchase orders, department expenses and maintain budget trackers.
Support health and safety requirements and/or act as a H&S Representative for a designated area.
Co-ordinate and carry out induction of new recruits - organisation and initial induction, planning on first day including allocation of team space on joining.
Support ad hoc projects as requested and manage other duties and responsibilities as defined by Office Manager/Senior Managers.
Implement effective processes and procedures (standard work) as guided by the office manager and seek to continuously improve ways of working.
Other typical duties include but not limited to;
Receiving and distributing mail, ordering and maintaining office supplies/stationery, actioning security pass requests, coordinating, meeting and greeting visitors, managing noticeboards and office communications, co-ordinating with contractors for cleaners and maintenance, filing, archiving and retrieving documents.
Matrix report to Office manager with performance reviews and work related issues and concerns.
Organise and manage diary arrangements, meetings, domestic/international travel arrangements and expenses for allocated managers.
Prepare information for managers for meetings, appointments, presentations etc. and follow up inward and outward requests for information, outstanding reports and correspondence.
Deal with incoming email, documents and post, corresponding on behalf of the manager where required.
Meet and greet visitors.
Attend meetings if requested, take minutes and be the point of contact for managers. Organise facilities for meetings including lunches/refreshments.
Support set up and administration of events and conferences.
Flexibility is required to suit the business needs, occasional travel may be required at short notice, willing to be contacted out of hours
