Job Description:

We are looking to fill a full time position as Sales and Marketing Support Manager in our Whistler location. This role ensures the successful support operations of the timeshare sales and marketing efforts at the Whistler Sales center and all Marketing locations. Assist the Vice President of Sales, Directors, Sales Managers and Marketing Managers in the implementation of projects and programs.  Duties and Responsibilities: Manage all support staff members in the Tour Reception and Gifting departments. Prepare and submit all necessary new hire, personnel change and termination paperwork to the appropriate corporate departments in a timely manner.      Sales and Marketing Guest Recovery to include guest appeasement preparation and delivery and guest calls.      Account for tours, inventory and completion of all auditing and tracking processes. Complete all end of the month reporting required by Accounting and upper management.      Banking functions as they relate to all Sales and Marketing funds. Manage spiffs, awards and expenses for the Sales and Marketing departments. Process payroll as per Company policies and procedures for the Sales and Marketing departments. Provide clerical assistance to the Vice President of Sales, Director of Marketing, Sales management and Marketing management. Run reports, Coordinate events, and other assignments as requested. Order Premium inventory, uniforms and office supplies as needed for both Sales, Contracts, Quality Assurance and Marketing departments on site.       Assist in processing invoices for payment as they are received for the Sales and Marketing efforts. Oversee the inventory maintenance, management, auditing and control of all Marketing Promotional and retail materials. Including necessary audits of Gifting Desk, safe, storage, Activity Center and pre-gifted premiums. Oversee gifting inventory to include ordering, accuracy and pacing reports. Assist with all event coordination. This will, but not limited to, training, recruitment/job fairs, etc. Assist managers with creating, maintaining and distributing of departmental payroll, policies and procedures and memos Ensures that both Sales and Marketing are compliant with company guidelines, courses and policies. Assists in completing invoicing, petty cash reconciliation and deposit reconciliation to include delivery of checks to vendors, where necessary. Process reimbursable expenses for all management. Update all existing vendor contracts two months before expiration of contract. Qualifications: Minimum 2 years' experience in Administrative and Timeshare Sales Minimum 1 year experience in a supervisory role Excellent communication skills both oral and written Excellent people skills High level of integrity Detailed, accurate, organized and disciplined Ability to prioritize and delegate
