Job Description:

We are looking for a new Account Coordinator to join the Impact XM team in Oakville! As an Account Coordinator, participates in cultivating new and repeat business on behalf of the Company. Services client accounts and projects. Takes all appropriate and necessary action to ensure clients and prospective clients regard the Company in high esteem and rely upon us as their resource for present and future marketing communications solutions. ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned. Implementation:Be fully informed regarding client opportunities and project status. Be prepared to answer questions from clients and Company departmentsEnsure the utmost accuracy and timely delivery of assigned tasksAbility to manage wide variety of assignments and NA, review and disseminate convention prospectus and related informationSupport new business opportunities and account NA notes at planning meetings and provide call repotsManage information disbursement to drive projects through Impact XM's Project Management systems, including maintaining Work Orders, Creative Briefs and Call Reports, and communicating information to all departments in an effective mannerExhibit proficiency in Microsoft Word, Excel and PowerPoint programs in order to prepare client correspondence, proposals and presentationsPrepare basic written documentation to client basePrepare Power Point presentations for sales meetings, customer pitches, NA sales presentations, prepare and print proposals, bind proposal books, gather supporting documentation and create PowerPoint presentationsCoordinate travel arrangements for team membersKeep organized job filesPrepare billing for job invoicesProvide relief coverage at the reception deskWork on special projects as assigned by Executive ManagementCoordinate all on-site client meetings appropriately, i.e. conference room reservations, refreshments, room set-up before and clean-up after, etc. Sales / Account Management:Under supervision, participate in the sales process: observe capabilities presentations, sales presentations, pitches and proposal generation for existing client base and prospectsWhen possible, observe the practice session for the pitch to the customerUnder supervision, prepare written documentation including proposals, quotations and lettersMaintain accurate and complete client and project filesProvide administrative support throughout the project life cycle, from concept development through delivery and final billing Support all account related needs including, but not limited to:Property and graphic inventoriesJob process issuesShow site expectationsQuality / ExpectationPricing / billingOccasional travel is required Financial Responsibility / Management:Participate in updating team forecasting and budgeting information in the Work OrderCreate and maintain spreadsheets in ExcelDemonstrate project and meeting fiscal responsibility in booking travel and follow Company guidelines LeadershipTrain and develop individual skill set, expanding client services, sales, business and marketing expertiseResolve problems / conflicts within teamComplete all work with some supervision and direction QUALIFICATIONS Bachelor's degree (B.A. or B.S.) from four-year college or university; and 0-2 years' experience in a similar role and/or training; or equivalent combination of education and NA about working with people and be customer-centricEmbodies flexibility, open-mindedness and receptivityActively works out solutionsIdentifies something valuable in being part of a team and ability to effectively collaborateEffective communication skills are required: including the ability to prepare written documentation including proposals, quotations and letters; maintain accurate and complete client and project filesExhibits the ability to multi-task, and operate under severe time constraints and immovable deadlinesGood organization, detail and follow-up skills are required with the ability to manage and reset priorities in a rapidly changing environmentProficient using Microsoft Office programs
