Job Description

Position Summary:

S/he will provide administrative and analytical support to the Chief of the Staff Office within Defense and Veterans Brain Injury Center (DVBIC) and network sites and throughout the Department of Defense's (DoD) Traumatic Brain Injury (TBI) Pathway of Care. Also responsible for assisting in the developing, maintaining and distributing the Program Improvement and Evaluation program's documents (e.g., Standard Operating Procedures (SOPs), surveys, quarterly metric reports, etc.) The incumbent will function as a resource for survey requests from DVBIC and its network sites.

Primary Responsibilities:

  • Provides administrative /analytical support to the DVBIC's Chief of Staff Office.

  • Provides input on manpower utilization, work flow, measures and metrics, and operational procedures to increase efficiency, productivity,survey methodologies, and make overall improvements for the program.

  • Creates, maintains and updates various internal databases.

  • Responsible for assisting in the developing, maintaining and distributing the SOPs for the CoS Office .

  • Facilitates the -coordination of essential information between the CoS Office and other DVBIC staff.

  • Assists in the development and maintains guidelines for the utilization of the Program Evaluation documentation system/process

  • Assists with the collection and management of data from various divisions/network sites.

  • Ensures data quality and statistic management of data, including the analysis of said data, and appropriate handling and storage of data. Coordinates meetings as needed.

  • Develops and/or maintains professional relationships with other stakeholders of wounded warriors at MTFs, VAs and civilian organization to facilitate information sharing and support of the program

  • Support Six Sigma implementation for Government customers deploying Lean Six Sigma within their organizations. Assist to establish Lean Six Sigma methodologies, including:

  1. Support the implementation of Lean Six Sigma for Government initiatives to establish continuous process improvement programs

  2. Support the develop of Lean Six Sigma initiative and project objectives to align with a Government agency's business strategy

  3. Provide technical leadership for improvement projects assigned to Government project to enhance their Lean Six Sigma understanding

  4. Support change management processes to meet Government customer improvement needs

  5. Identify and promote process improvement efforts

  6. Support PIE office with tools and techniques for Lean Six Sigma.

  7. Support program management regarding Lean Six Sigma improvement efforts that promote organizational culture change.

  8. Support Six Sigma implementation at DVBIC and its network sites by utilizing Lean Six Sigma and other process improvement methodologies.

Non Primary Responsibilities:

  • Other duties consistent with the above responsibilities.

  • Other duties that support the CoS and Program Improvement and Evaluation office or its initiatives


Master's Degree in administration, or planning preferred. Experience within medically appropriate systems of care may be accepted in lieu of educational minimums. Lean/Six Sigma Green Belt required within 6 months of hire; Black Belt preferred. R elated directly relevant technical or military discipline, or the equivalent combination of education, professional training, or work/military experience may be substituted for Master's Degree.


Minimum of 3 years of program, clinical, or research management experience preferred. Minimum of 3 years of experience implementing and administering a health program preferred. Prior experience within the DoD/VA systems of care strongly preferred.

Working knowledge of SPSS and Microsoft Excel is required. Excellent oral and written communication skills required. Must be proficient with a multitude of Windows based, email and internet computer applications. Excellent organizational and time management skills required. Be conversant with data collection methods and statistics. Demonstrates accountability for practice through planned and continuous professional growth. S/he must adhere to legal, professional and ethical codes with respect to confidentiality and privacy.
