Job Description:

XLVets Training Services are looking for an Operations Assistant and would be interested to hear from you if you can work as part of a team, have excellent organisation skills and can juggle a varied workload. We are particularly looking for someone with administration experience, used to following business processes with a high level of attention to detail and being motivated to deliver excellent customer service. About the team and its work Our trainers deliver many and varied workshops each week all over the country. A key part of our delivery is on contract to major customers such as Government, Supermarkets and Pharmaceutical Companies, but we also run training workshops for individuals including vets, horse owners and farmers. The central team, in which you will work, are responsible for the end to end training delivery process including: Working with trainers and others to organize and administer workshops Helping member practices market and find delegates for their workshops Delivering training contracts to agreed processes Managing bookings through our on-line booking service Finding and booking training venues Liaising with trainers and delegates, including all administrative requirements for the running of a successful course Seeking and acting on feedback The team are supported by a network of trainers across the country, access to training venues, a back office database, an on-line booking system and an accounting system to track and record training delivery. We also have a well developed suite of professionally produced training materials and aids. Specific Responsibilities of the Role: Effective end to end organisation of all XLVTS VetSkills training courses including working with trainers, agreeing course dates and venues; arranging trainer and delegate accommodation and refreshments; sourcing and analysing delegate feedback to keep accurate course records Handle and act on daily phone and email queries and manage any complaints or opportunities through appropriate team liaison Ensure overall processes meet audit and other requirements The successful applicant will report to the Business Development and Operations Manager for XLVet Training Services Ltd. The post will be working as part of a small team, alongside accounts and administration assistants and a business development manager. Skills, Knowledge and Experience We are looking for someone who: Is super organised and has experience of managing complex logistics on a daily basis Has a high level of attention to detail Always puts the customer first and enjoys thinking how to 'go the extra mile' to keep customers happy Enjoys working in a small team environment, and being on the phone to work within a larger network Enjoys meeting new people and being a positive asset to the business Has experience of delivering against set KPIs Is strongly self-motivated and able to take a high degree of personal responsibility Is a great team player who is positive and enthusiastic and can 'muck in' to contribute to the overall team success Is an effective user of a range of IT products, particularly databases and excel, but also word and powerpoint Perseveres to make things happen; is not daunted by challenges Is good with people and can work effectively with and through others outside the immediate team Can communicate effectively at all levels Location, Working Hours and Salary The team are based in Ripon in North Yorkshire.
