Position Overview
To provide dedicated administrative support to the Regional operations teams to ensure effective and efficient operation as directed by the line Manager.
The role will encompass the delivery of key tasks, with a focus of this role being the deliverance of excellent customer service through open, courteous and friendly communication.

  • Document Management
  • Administer incoming / outgoing mail and faxes
  • Preparation and administration of outgoing correspondence
  • Administration of hard copy and electronic files
  • Administration of client contact lists
  • Maintaining the contract filing system
  • Travel and Hotel bookings
  • Meet, greet and escort visitors, coordinating meeting room and other requirements
  • Provide central contact for site, fielding and redirecting calls where required
  • Management of incoming and outgoing mail
  • Management of courier services
  • Collating and distributing all incoming faxes
  • Meeting room booking and refreshment ordering
  • Ensure reactive requests are complied with and completed - provide feedback to Manager
  • Ensure all associated paperwork is completed and maintained in an orderly and timely manner
  • Actively promote the interests of the customer by providing an informative, helpful service to all callers
  • Attend training and other meetings as required and to make specific training needs known to line management
  • Any other requirements of Line Manager
  • Be aware of the business continuity plan for the part of the business you work in.

What we are looking for
  • Experience of Office environment working
  • Relevant experience in a customer-facing environment
  • Comfortable with Microsoft Office suite (Word and Excel)
  • Use all types of technology - telephones, faxes, e-mail, photocopiers, printers
  • Positive and cheerful disposition
  • Excellent communication and interpersonal skills
  • Team player
  • Well organised and prepared to be flexible in their approach

    • Full time
    • Monday to Friday
    • 40 hours per week
    • 20 days annual leave
